Overview

The Land Lease Manager will be responsible for overseeing all aspects of land and property lease management for our Florida East Coast Railway operations. This role involves negotiating and administering land leases, ensuring compliance with regulatory and legal requirements, and optimizing property use to support operational needs. The ideal candidate will have a deep understanding of property and land management, strong negotiation skills, and the ability to collaborate effectively with internal and external stakeholders. You will play a key role in maintaining and expanding our land portfolio, ensuring long-term access to critical infrastructure while driving cost efficiencies.

Responsibilities

  • Oversee the generation and negotiation of new land leases, ensuring terms align with company objectives.
  • Conduct comprehensive market appraisals and evaluations for both new and existing leases to optimize property value.
  • Review and approve lease terms for newly originated and approved land leases, sales, and acquisitions, ensuring compliance with legal and regulatory standards.
  • Manage the entire land lease lifecycle, from initial negotiations through execution and collections.
  • Serve as the primary point of contact for tenant inquiries, providing exceptional service and clear communication throughout the lease process.
  • Facilitate tenant understanding of lease agreements, terms, and requirements, ensuring a smooth lease closing process.
  • Maintain detailed reports on lease activities, collection efforts, and digital filing systems for accurate tracking and documentation.
  • Prepare and issue renewal and extension letters for all annual real estate lease renewals, ensuring timely processing.
  • Review and approve monthly land lease charges and manage invoicing processes for accuracy and efficiency.
  • Lead the collection of rental payments, focusing on receivables aged beyond 60 days.
  • Oversee lease termination processes when necessary, ensuring compliance with all termination clauses
  • Maintain and update tenant records within the JD Edwards accounting system for accuracy and integrity.
  • Manage and oversee the lease portfolio, including insurance requirements, tenant information, collections, renewals, and billing.
  • Digitally archive all lease-related documents, including leases, extension letters, and amendments, for efficient record-keeping.
  • Participate in additional real estate projects as needed, contributing to the continuous improvement of property management processes.

Qualifications

 MINIMUM QUALIFICATIONS:

  • High School Diploma
  • Expert in Microsoft Excel (ie building Macros, Pivot Tables, creating H & V Lookups, Linking Workbooks)
  • 3 - 5 years of experience in real estate administration, with contract negotiation responsibilities
  • Valid driver’s license

 

PREFERRED QUALIFICATION:

  • Bachelor’s degree from an accredited institution

  • Strong organizational skills
  • Analytical expertise with ability to problem solve
  • Excellent verbal and written communication skills, with the ability to convey information clearly and effectively across diverse audiences
  • Adaptable and resilient, able to pivot in response to changing priorities or challenges without losing focus or becoming frustrated
  • Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint and Adobe)
  • Ability to reliably evaluate, problem solve and make sound decisions
  • Attention to detail and accuracy
  • Strong accounting skills
  • Ability to handle multiple tasks and meet deadlines
  • Willing to engage in hands-on tasks, even in demanding or messy environments

 

JOB REQUIREMENTS:

  • 20% overnight travel through the state of Florida required
  • The applicant selected for this position will be required to successfully complete a background check and drug test; passing results must be received prior to start date in new position
  • Lift boxes up to 25 lbs.
  • This position requires on-site presence and is not eligible for remote work
